Why ribbon quotes look complicated
Most Chinese ribbon factories quote on a per-meter basis that looks simple (“USD 0.18/m for 50,000m”), but the final invoice often includes 5-7 hidden line items that add 15-25% to the quoted unit price. This guide walks you through each component so you can compare quotes fairly.
1. Base Ribbon Price (per meter)
The headline number. Usually quoted per meter, sometimes per yard. Always check: width (3mm / 1cm / 5cm?), color (standard or custom Pantone?), material (polyester / satin / velvet?). Different specs have wildly different base prices.
2. Plate / Setup Fee
One-time charge for engraved plates used in printing. Typical: USD 30-50 per color. If your design uses 3 colors, that’s USD 90-150 upfront. Ask: is plate fee refundable on bulk orders? (Many factories refund on orders >5,000m.)
3. Color Match / Lab Dip Fee
For custom Pantone colors, the factory needs to dye a small sample (“lab dip”). Typical: USD 50-100 for 1-3 dye attempts. If they can’t match your Pantone on the third try, this fee is non-refundable.
4. Packaging
Each roll is wrapped in plastic + paper, then packed in export cartons. Typical: USD 0.005-0.015/m. Custom packaging (private label poly bags, branded cartons) may cost 3-5x more.
5. Sampling / Pre-Production Sample Fee
Factories typically offer 1-3 free samples for stock products, but charge USD 30-80 per custom sample. Many refund this on bulk orders — check the quote footnotes.
6. Tooling Fee (for jacquard woven ribbons only)
Jacquard ribbons require a custom loom setup (harness pattern). Typical: USD 200-500 per design. Often amortized into the per-meter price for large orders, but a separate line item for orders under 5,000m.
7. Shipping / Freight
Most factories quote FOB (Free on Board) — meaning the price includes delivery to the Chinese port. You pay for ocean freight from there. Ask: is the quote FOB or CIF? CIF includes ocean freight to your destination port, but adds 8-15% to the unit price.
